Overview
Appointments are used for one-on-one sessions such as consultations, private lessons, trial lessons, or private testing.
Unlike classes, appointments are scheduled individually and are not tied to programs.
How to Create an Appointment
You can create an appointment from:
- Calendar -> Click any date
- Calendar Page -> Click Create Schedule
- Schedule List -> Click Create Schedule
Step 1: Select Appointment
After clicking Create Schedule, choose:
- Appointment
Step 2: Choose Appointment Type
Select the type of appointment:
- Consultation -> Intro meetings or inquiries
- Private Lesson -> One-on-one training sessions
- Trial Lesson -> One-on-one or small group trial sessions for new students
- Private Testing -> Individual testing sessions
Note: Trial Lessons are available for trial members.
Step 3: Enter Basic Information
- Appointment Name: Name of the session
- Description: Optional details about the appointment
- Attach Image: Optional image upload
Step 4: Set Appointment Schedule
The scheduling section is the same across all appointment types.
You can choose:
1. One-time
- A single appointment on a specific date
- Set:
- Date
- Start time
- Duration
2. Multi-day
- Appointment across consecutive days
- Set:
- Start date & end date
- Start time & end time
Additional Settings
Instructor
Assign the staff member responsible for the appointment.
Class Capacity
Set the number of participants.
- Typically set to 1 for one-on-one sessions
- Or enable No Limit if needed
Assign Fixed Members
Assign specific members to this appointment.
- Works similar to class scheduling
- Assigned members will be automatically included
- Can be modified or removed at any time
Enable Reservation
Allow members to book the appointment through the app or scheduling link
Reservation Cut-off Time
Control when booking closes:
- Before the appointment starts
- Or within a selected date range
Step 5: Save
Click Save to create the appointment.
The appointment will appear in both the Calendar and Schedule List.
